Payment Policy
This Payment Policy outlines the payment terms, methods, and processes for all services provided by All Communication Matters Speech Pathology (ACM) and applies to all clients.
Payment Terms
Payment is due at the time of your appointment, unless you are NDIS Plan- or Agency-Managed. Where an invoice is issued, it will be sent within 24 hours and must be paid within 7 days to avoid any disruption to your services.
How to Pay
Clinic appointments – payment is accepted at the clinic by EFTPOS, credit card (Amex not accepted), or cash.
School, Preschool, and Telehealth appointments – we use Stripe for automated payment processing. Once your clinician confirms your appointment, your card is charged and a receipt is issued. If a payment fails, you will receive a text message and we will retry within 48 hours. A second failed attempt will incur a Stripe processing fee to the outstanding invoice which is then emailed to you. Our payment terms of 7 days from the day of invoice apply. Please ensure your card details are current and sufficient funds are available to avoid additional fees or disruptions to your services.
NDIS Participants
Plan-Managed – we claim directly from your nominated plan manager. To avoid delays or interruptions to services, please approve invoices within 48 hours and notify us promptly of any plan manager changes.
Agency-Managed – we claim via the NDIS portal on a weekly basis. If you are on PACE, you will need to nominate us as ‘my provider’ to enable claiming. Please notify us immediately of any plan or service booking changes.
Funding – if your funding is approaching its limit before your new plan commences, please notify us as soon as possible. All invoices remain your responsibility, regardless of your funding status. If your funding is exhausted, your options include paying privately, using private health cover, seeking a Medicare rebate through your GP or paediatrician, or temporarily pausing therapy (please refer to our Attendance & Cancellation Policy).
Funding Periods – NDIS plans may include funding periods throughout the year. Please provide us with your funding period details as these directly impact service delivery and invoicing. Please note that we are unable to modify invoice dates or claim services outside of your designated funding periods.
Rebates & Other Funding
Please note that only one funding source may be used per invoice – Private Health, Medicare, or NDIS. Any gap amount must be paid privately.
Private Health – at our Hornsby or Erina clinics, please present your card at the time of payment and we will process your rebate on the spot. For all other locations, pay your invoice in full and claim directly from your fund using the receipt we provide.
Medicare – please speak with your GP or paediatrician to determine your eligibility. At our Hornsby clinic, we can process the Medicare claim on your behalf. At all other locations, you will need to claim directly using your receipt.
Overdue Accounts
We understand that payment difficulties can arise from time to time. If you have concerns about an outstanding account, we encourage you to contact our administration team as early as possible – we are happy to assist.
Where an invoice remains overdue, the following applies:
- 7 days – A payment reminder will be sent
- 14 days – A late payment fee is applied and therapy will be paused until payment is received
- 21+ days
- Ongoing appointments will be cancelled and your appointment schedule may be forfeited.
- Engagement of debt collection services. We reserve the right to recover outstanding amounts, including any debt collection, legal, or administrative costs.
GST
All Speech Pathology services are GST-free. For NDIS participants, services are GST-free provided your plan is active and the relevant supports are covered under NDIS determination.
